When viewing an office, you look at the location, the light, the parking spaces and the rent. But whether you can work well there digitally is not something you see on a tour. This checklist helps you ask the right questions.
Does the building already have an IT-Label? Then many of these questions have already been answered. Ask for the certificate and the supporting report.
The connection
- What internet connection does the building have? Fibre, cable or copper?
- Is the connection shared or dedicated? And is it symmetrical?
- Is there a backup connection in case the main one fails? Via a second cable or via 4G/5G?
- Who holds the contract with the provider: the landlord, or will you be the customer yourself?
Cabling and rooms
- What network cabling is installed? CAT6, CAT6A or older?
- Are there enough network outlets where you want to work?
- Is there a technical room or patch cabinet for your own equipment? Is it cooled and locked?
- Is there room to add cables later?
WiFi and mobile coverage
- Is there WiFi, and who manages it?
- Is there a recent WiFi survey of the building? If not, can one be done?
- Is mobile reception good everywhere in the building? If not, is there an indoor coverage solution?
Building systems
- Which smart systems are there: access, climate, cameras, visitor registration, room booking?
- Are those systems linked, and are they separated from the tenants' network? (See network segmentation.)
Agreements
- Who does what? Record it in an IT Demarcation List. That way you avoid disputes over who pays for the WiFi or who has to fix a fault.
What if the answers are vague?
That happens a lot. The landlord does not always know exactly, and that is not surprising: the digital quality of a building is rarely recorded. But a vague answer is no reason to leave it at that. If the estimate is wrong, you bear the cost, and you are often tied to it for years.
You can suggest having a pre-inspection carried out. Then you know exactly what is in place, and what you still need to invest in. That is also a strong argument in negotiations about rent or a landlord contribution.
